Recruitment operations
Recruitment operations for staffing and recruitment agencies
After placement, agencies still need to handle sickness, leave, corrections, documents and payslip delivery. HireFlow keeps those operational workflows connected in one agency workspace.
Operations continue after placement
Placement is not the end of the workflow. Many recruitment systems stop when someone is hired, while agencies still need to process sickness, leave, hours and kilometer corrections, workforce documents, medical submissions and payslip delivery.
HireFlow keeps that agency side work connected to the employee and workplace record in one workforce view. This is operational handling after placement, not a payroll engine or a full HRIS replacement.
Sickness workflow
When an employee reports sickness through the portal, the agency can review and manage it on the workforce record. Owners and recruiters receive in-app notifications, and an optional operational sickness mailbox can notify a dedicated inbox when configured. Sickness history stays available for operational follow-up, including marking a current period recovered.
HireFlow records operational sickness for the agency workflow. It does not provide medical diagnosis or healthcare advice.
Leave request handling
Employees submit leave requests with start and end dates. Agency owners and recruiters see pending requests on the workforce record, approve or reject them, and keep recent decisions visible. HireFlow does not calculate automatic leave entitlements or payroll balances.
Hours and kilometer corrections
Hours and kilometers recorded by the agency remain the operational source of record. Employees can submit corrections, and optional routine weekly submissions when the agency enables them. Owners and recruiters review pending submissions and approve or reject them on the workforce record.
Decisions stay on the HireFlow record for operational follow-up. This is correction workflow handling, not payroll calculation, salary processing or a full timesheet engine.
Workforce documents
Agencies can publish employment documents scoped to the workplace and review private workforce files employees upload for a placement. Contract, identity, policy and other employee files stay on the workforce record, separate from candidate recruitment documents.
Medical uploads use a dedicated employee flow. Authorized agency staff can access attributed medical files in the sickness workflow where the process requires them. HireFlow delivers the file securely; it does not perform medical review or legal validation.
Payslip publishing and delivery
Agencies publish payslip files in HireFlow for a workplace employment. Employees then view and download their own payslips in the portal, scoped to the workplace. This is secure payslip publishing and delivery, not payroll calculation, tax processing or automatic payroll provider integration.
Operational notification mailboxes
Agencies can configure operational notification mailboxes for workforce processes. When an operational sickness mailbox is set, sickness reports can notify that dedicated inbox instead of relying on personal recruiter email. This stays inside workforce operations, not a recruitment communication or messaging product.
One agency view of work after placement
Agency teams should not reconstruct context after placement from scattered emails, spreadsheets and loose files. HireFlow keeps sickness, leave, corrections, documents and payslips connected to the relevant employment and workplace context. HireFlow does not invent fake time saved percentages.
Connected to the employee portal
The employee portal is where placed workers submit and view self-service items. Recruitment operations is where the agency receives, reviews and manages those operational items on the workforce record. For the employee facing side, see the employee portal.
Connected to the recruiter workspace
The recruiter workspace is daily recruitment work before and during placement: vacancies, candidates and applications. Recruitment operations is agency side work after placement. For recruiter daily work, see recruiter workspace.
